How to email a PhD supervisor in Europe from India (with example)

Most students don’t get replies because their emails are generic, long, or unclear. Use a short, research-fit email that shows you did your homework.

A simple structure that works

  1. Who you are (degree + institution + area).
  2. Why you’re writing (topic / lab fit).
  3. 2–3 fit points (techniques, project, paper connection).
  4. Clear ask (open to supervising? any funded openings? programme route?).
  5. Attachments (CV + transcript; optional short research summary).

Sample email (adapt—do not copy blindly)

Subject: Prospective PhD student – [your topic] – [your degree] (India)

Dear Prof. [Surname],

My name is [Full Name]. I recently completed my [degree] from [university], India, and I am interested
in pursuing a PhD in [topic].
